Movement without paperwork: where the risk hides
Movement without paperwork: goods taken on a verbal agreement are invisible in the records and show up as a shortage in the next revision, with nothing to prove the deal.
"I'll take one box, you can record it later." "I gave a customer one as a sample." "I lent the next stall some stock until tomorrow." Each of these remarks looks harmless on its own. But goods that moved without a document do not live in the records: in the program they exist, on the shelf they do not. A revision will show the gap as a shortage, and when the question "who took it?" comes up, nothing can prove a verbal agreement.
What movement without paperwork looks like
- "borrowing": an employee, the owner or a relative takes goods temporarily, promising to "pay later" or "bring them back";
- samples and gifts: goods handed to a customer or partner but never formalised;
- a friendly loan: stock lent to a neighbouring stall or a branch "for a day";
- internal needs: things taken from the warehouse for the office, repairs or everyday work;
- loading: a batch put on a vehicle with no delivery note, or one written for a smaller quantity;
- repacking: a large box is opened and sold piece by piece without recording that the balance changed;
- returns: goods brought back by a courier are put on the shelf without a document.
Why it is dangerous
First, there is no protection. Even if the storekeeper says "the manager himself asked", without a document his word is not evidence and the shortage lands on him. Second, the real cause is hidden: genuine theft often travels under the same cover, because any shortage can be explained as "that was a loan". Third, reports are distorted: cost, sales and profit do not show the real position, which raises questions in financial and tax reporting. Fourth, an "exception" made once becomes a habit tomorrow.
A hypothetical example. At a bazaar stall in Tashkent a seller "temporarily" gave the next stall 5 boxes of tea and no document was made. The neighbour forgot about it until the end of the month. The revision found a shortage of 5 × 240,000 = 1,200,000 so'm. The neighbour insisted "I never took it", and the seller had not a single piece of paper. The loss of trust cost more than the money.
Five places where the risk hides
- The loading door and the yard. Evenings, shift changes, a "quick urgent shipment" with a driver.
- Samples and gifts, especially before holidays.
- The owner and those close to him. The most delicate spot: "it's my warehouse, I'll take it myself". The rule must be the same for the owner, or staff will start to read it in their own favour too.
- Returns and exchanges.
- The sorting and packing area, where goods pass from one position to another.
How to fix it
- Set one rule: document first, movement second. Goods without a document do not leave the warehouse.
- Make a light form. A "temporary withdrawal slip": who took it, what, how much, when it comes back, who allowed it. It takes 30 seconds to fill in. Nobody writes a complicated document, and that is exactly where verbal agreements come from.
- Keep a separate log for samples and gifts.
- At the end of each day look at the list of slips not yet closed. Overdue items are formalised as a debt or written off.
- Introduce a single exit and a list of keys. Cargo leaves only with a delivery note.
- A "permission" in a messenger is not a document, but it is a trace: turn it into a working document the same day.
How it is found in a revision
Movement without paperwork gives itself away through several signs: small but recurring shortages in particular positions; a book balance that falls faster than sales; differences tied to one shift or one person; "missing" goods that later turn up elsewhere, at another stall or with an employee; phrases like "we'll record it later". When you see such signs, look first not at the shelves but at the history of movement: who, when and why.
There is also a simple test. Take the twenty fastest-moving positions and work out the "expected" balance: the balance at the start of the month plus receipts, minus sales and write-offs. Compare it with the actual balance: the gap between the two figures shows how much left without documents. If it grows from month to month, the cause is not chance but the system.
Conclusion
Movement without paperwork comes less from bad intent than from convenience. The way to remove it is not a ban but an easy document. The Reviziya team can help introduce the rules and trace movement that has no paper behind it.
